Deposit Still Not Returned Months After Tenancy End

My tenancy ended on 19 January, yet months later my deposit is still unresolved.
I submitted my deposit return request through the TDS portal on 11 February, but the letting agent only responded on 5 March, and that too after follow-up from the Tenancy Deposit Scheme.
Even during the dispute process, the undisputed portion of the deposit has not been returned. Instead, large deductions were proposed which I immediately challenged with supporting evidence.
From a tenant’s perspective, this feels like an attempt to retain as much of the deposit as possible rather than resolving the matter fairly and promptly.
Tenants are expected to meet strict deadlines and face penalties for late rent, but the same urgency does not seem to apply when returning a tenant’s deposit. Based on my experience, tenants should be extremely cautious and keep detailed records of all communication.

Landlord Let Only Service

First time using Property Genius for letting out a property, quick turnaround from handing over keys, to advertising and getting new tenants in.

Condescending & Poor

The smallest regard to tenant satisfaction & condescending customer service. (Calls their customers threatening and abusive - rather than take accountability to fair criticisms).

Rented with Property Genius for around 1 year and had numerous instances of condescending customer service skills from Vicki and the owner Graeme.

It was mainly just their mannerisms & wording, wasn't anything close to being warm or friendly but rather self centred and patronising. Charged us for an electrician being called out to the property to identify where the fusebox was IN THEIR OWN PROPERTY THAT THEY MANAGE - unbelievable, as a property management company should know this on file.

After plenty of kicking and screaming from them, they finally agreed to go halves on the cost which I do respect, but it should not take what it took for this to happen and really they should've paid it in full.

I am largely leaving this review since they charged me a whopping cleaning fee, with the extractor fan being apart of this fee. Literally was in the same condition upon moving in - I kinda found it to just be a money grab as a last laugh from them if anything.

Just quite a petty company altogether, but my landlady was lovely though, so that I can say :)

Regarding the issue with the electrician, we typically advise tenants to check straightforward solutions like the consumer unit to help avoid unnecessary service charges. The issue was caused by a toaster being left on the hob causing a significant fire hazard. The decision to split the cost of the call out was an effort to resolve the matter cooperatively, and foster a positive way to move forward.

The cleaning fee was a directive from the landlord, not a decision made by us to generate additional revenue. We do not benefit financially from works assigned to contractors.

We appreciate your kind remarks about the landlady and are glad to hear that aspect of your experience was positive. While we always strive for constructive interactions, we encourage all parties to engage respectfully to resolve any issues effectively. Thank you again for your feedback, which will help us continue to improve our services. We wish you the best in your future housing experiences.

Your application for the property was received with the condition from the landlord that due to the income-to-rent ratio being low, a UK-based guarantor meeting specific criteria was required. This is a standard procedure aimed at ensuring security and compliance for all parties involved.

Upon your confirmation that you had a guarantor meeting the requirements, we proceeded with the necessary checks and formalities, including the holding deposit, as per the clearly stated terms. These terms were agreed upon and signed by you, understanding that the deposit serves as a commitment and would be utilised towards administrative efforts and taking the property off the market.

Unfortunately, it was discovered that the guarantor did not meet the stipulated conditions, which is a critical aspect of the vetting process. Specifically, you assured us your guarantor was a homeowner prior to a deposit being paid, and it transpires this was false. This discrepancy led to the inevitable outcome of your application not proceeding. We understand this is disappointing, however, it is essential to ensure that all provided information is accurate and truthful to avoid such situations.

We are committed to fair and transparent dealings and must adhere to the agreed terms and conditions, especially when other potential opportunities are foregone based on the provided information and assurances.

Firstly, we would like to clarify that our company carries out thorough checks on all prospective tenants, including credit checks and background checks, to protect the interests of our clients. In your case, we discovered an undeclared County Court Judgement on Olegas' credit report, which unfortunately led to the failure of your application.

We always ask for complete and accurate information during the application process, and unfortunately, in this case, the undeclared County Court Judgement was not disclosed. We understand that this can be frustrating, but it is our responsibility to ensure that our clients' properties are occupied by tenants who are financially responsible.

We understand that you may be disappointed with the outcome, but we would like to assure you that our checks are carried out with the aim of protecting our clients' interests. We always ask people to be helpful throughout the referencing process to ensure that all necessary information is obtained.

Poor service and months spent trying to fix basic problems

Property genius manage a property we let, they have some good systems in place for reporting problems but sadly these are let down by poor management and a lack of knowledge of how to tackle problems.

We had a broken ventilation fan which took nearly two months to get fixed (identified on 27/1, new fan installed 17/3), we have had issues with three out of the four heaters in the apartment, two were fixed after 1 month, the third is still broken and doesn't adequately heat the room, this repair job has been closed with the landlord acknowledging it is faulty. This is illegal but property genius refuse to act.

Our shower has been intermittently faulty for a month, we've had no communication with property genius for nearly two weeks.

I even went through their internal complaints process, unfortunately the only person you can refer things to doesn't seem able to grasp the problems at hand and doesn't respond to points raised within a complaint.

If you do have a problem, speak to the local council Environmental Health teams, they are good and can force your landlord to act if nobody else bothers.

To respond to Graeme's comments below, you're publicly lying about the full history of the problems we've had. And it's fantastic that the landlord is going to refurb things after our tenancy ends, but we are still stuck with heating that isn't sufficient for the space, a shower which works part time (often fails in mornings and evenings, the times when people need to shower) and ventilation that barely works at all. Putting a smiley face on things doesn't fix the faults or change the dire service that has been provided.

Thank you for bringing your concerns to our attention. We take all complaints seriously and strive to provide the best possible service to our clients. As mentioned before, we can only act on the instruction of the landlord on how to proceed.

I'm glad you were able to meet them in person yesterday. I can understand your frustration, and I hope you can take from the meeting with the landlord that your issues have been responded to in good faith. It's understood that the extractor fan in the bathroom took 30 days from reporting largely because you needed a date when both yourself and the contractor were available. The heater is working fine, just the boost button doesn't work. As a gester of good will, we have offered you some of our portable radiators we have in the office. And finally the shower was replaced with the same model 18 months ago and wasn't reported as faulty by the previous tenants. In all good faith, it should be working the majority of the time. The landlord has said with 3 months left of your tenancy, he would be looking to do a full bathroom refit.

We have full knowledge of how to tackle problems and have addressed your concerns on severage occasions maintaining communication with you at all times. We have an audit trail for each issue and have actively shared this information with you during your various complaints.

We regret that you feel our internal complaints process has not been satisfactory, but we have followed it diligently and have addressed your concerns as thoroughly as possible.

Finally, we want to assure you that we take our legal responsibilities seriously, and we comply with all relevant regulations. We appreciate your suggestion to contact the local council Environmental Health teams, but as yet we have not heard from them regarding any complaint.

I wish you didn't have such viseral distain for us. We are a small company looking to do the best we can and we remain committed to providing the best possible service to all of our clients.
