WorkflowMax - not impressed at all.
After using this app extensively in the last couple of years, I have concluded that the quality control has been poor so far. The app was barely usable at first. Bugs everywhere. It has got to the point this year that you can use the basic functions ok if you are prepared to put up with quirks (bugs) here and there. However, they started to charge you extra money for "Advanced functions", most of which are just the core functions they should have had there in the first place. Judging by my experience so far, maybe a two - to three-star product at best
Overall, a great system backed up by great support.
We have been using WorkflowMax for about 12 months now and it has made a huge difference to how we run our projects and manage our work. It is a really well designed piece of software that has genuinely made day to day operations much easier.
One of the biggest benefits for us is how well it integrates with Xero. The connection between the two systems works really smoothly and makes managing quotes, jobs and invoicing far more efficient. Being able to move information straight through to Xero saves time and reduces the risk of errors.
The support has also been excellent. David in particular has been brilliant in helping us get everything set up and is always quick to assist whenever we have questions or run into any issues.
Overall, a great system backed up by great support. Highly recommended.

Great tool for our company
We’ve been using Workflowmax for a number of years now for our Events company, for all things quotes and estimates. It ties in perfectly with Xero, our main accounting package. Product keeps getting better month after month.
Solid product!
Solid, reliable product that keeps getting better. The Bluerock team has clearly been listening and making steady improvements since the transition. Day-to-day workflows are smoother now, Xero sync works well, and it’s flexible enough for real-world business use. Still a couple of legacy features I’d love to see return, but overall it’s shaping up to be a strong long-term solution. Support has been responsive too 👌🙂
Workflowmax 2 is easy to use
Workflowmax 2 is easy to use, find information, add data and interrogate that information. The graphical tools are excellent to see the information in a visual manner for interpretation of the data.
Must have project management tool
Helpful for my daily project management tasks. UI is intuitive and easy to work with.
Perfect for a creative industry start-up
We've used WorkflowMax since we started our company 10 years ago. We're a creative design studio and our main requirements are capturing time and job costs so that we can asses the profitability of each job, which helps us when we tender for future work. WFM was the most cost effective solution for us when we were a little start up and was easy to implement. As we've grown (now nearly 100 users) it's still a great solution for our needs. The only thing it lacks for us, now that we have international clients, is multi-currency billing, although I understand that this is coming soon.
A solid system that's been a big help
We first started using WorkflowMax in our agency back in 2016 and it fast became the backbone of our job quoting, time tracking and profitability management.
When version 2 was announced and that they would be rebuilding the entire system from the ground up on a modern platform in just a year I was sceptical but oh boy did they deliver. On time and with a migration process that was well thought out and went very smoothly.
Today, the system is starting to see new features and integrations being released regularly which I think will continue to help a creative, agile business like ours to apply a little bit of structure and process to the way we work.
Great platform for Professional Services
WorkflowMax is a fantastic platform for Professional Services teams looking to keep on top of project tracking, timesheets and WIP reporting.
The UI is really clean, simple and the team find it really easy to understand/learn.
Honest review
I have used WFM for the last 2 years and there hasn’t been any issues with the system so far. It’s so easy to use everything feeds in from one section so no manual input which is efficient. The team is very helpful and answer any queries on the day and as it’s a new system if you need anything adding to the system which hasn’t yet been implemented they will go out of there way to do this. Even if the thing I need is very useful to myself they will add this to our system to make sure we have got everything to use for job analysis etc. it’s the best operating system I have used and I know can go so much further

Mac and David in particular have been fantastic.
Their take on the direction of the development with regular video updates and hands on support has given our businesses (we have 4 with wfm) have given greater transparency in our projects and helped reduced the missed billable opportunities.
For me, more profit, more cash, happier directors. Very happy with the product and the direction the system is heading

WorkflowMax is an essential tool for our agency, Cavalry. We'd be a bit lost without it. Easy to use, simple to set up new Projects, and great for timekeeping.
I manage a busy bespoke joinery…
I manage a busy bespoke joinery production which using Workflow max I can now create leads ,quotes and purchase orders which enables me to track every apspect of a project so I know finacially in real time what the actual projects cost are highlighting areas that need to be amended for future projects.
There is no payment integration for USA…
There is no payment integration for USA customers. That means your customers can't pay your invoice online. Not ideal. They claimed Airwallex would be integrated many months ago but still no luck. Also, their client facing date format on invoices for customers is in DD/MM instead of MM/DD/YY so the only way my USA customers know what date it is if I export to Xero and then manually change each date. No one in the USA thinks "06/07" means July 6th. If you want your customers confused and unable to pay your invoice WFM might be the way to go. I used WFM since 2017. Kind of losing hope. It does lots of things well and as long as your invoices are first sent through another system you can clean it up and add payment integration.
Not fit for prupose
Since Bluerock have taken over WorkflowMax from Xero their support and functionality has declined to a point where the product is now not fit for purpose. You cannot speak to anyone - you have to raise a ticket. They take around 2 days to reply and never seem to address or resolve the actual issue. I raised a ticket over 2 months ago when an invoice didn't export to Xero. It still isn't resolved and now I cannot reconcile my accounts and am completely stuck. If I haven't been with WorkflowMax for so many years I would definitely find an alternative solution. I will be looking now at alternatives and would not recommend this product at all.
Improving
I agree with all the previous comments.
However, things have improved considerably and the new product is working much better.
Thank you for getting it right, it is just a shame it was not right when it was first relaunched!
Terrible product
Basic functions of original product - Workflow Max, still aren't up and running. Yet we are charged premium fees. Ongoing issues with terrible support and customer service. Xero integration isn't functioning correctly and hasn't for over a month, yet they continue to promote this feature.
The old Xero WFM was fantastic - avoid WFM 2
The old Xero WFM was fantastic. The new WFM2 by Bluerock is shocking! The processes are 4-5 times longer. Nothing is straight forward anymore. Quotes take so much longer and to change anything requires creating a new item even though you already have it (you cannot simply amend the text in the quite lines). The integration with zero fails regularly and the support is teh absolute worst
Run away your business will thank you
As with a lot of others i have been using WFM for a long time and i have 100s of hours of input that i am very sad about i am trying to run my small business the changes to the app are disappointing to be nice and incompetent if i am honest
